One platform for a group of businesses. AI embedded where the work is messy.

An Australian professional services group running several businesses needed one place to operate from instead of five. We built the platform that holds it together: compliance work, projects, custom calculators, documents, client portals, and email threading, with AI embedded where the work is unstructured. Staff log in across the group via Google Workspace and Microsoft, each business keeps its own data and configuration, and it is all hosted in Australia. The client name is withheld.

The problem

The group runs several distinct businesses under one roof. The operational work (compliance, projects, documents, client communication, the bespoke calculations each business relies on) was spread across at least five separate tools and a lot of individual memory. Nothing connected, each business reinvented the same workflow slightly differently, and there was no single place a partner could stand and see how the group actually runs.

The brief

Build us one platform to operate the whole group from. It has to model multiple businesses with their own data and configuration, let our people log in with the identity providers we already use, embed intelligence where the work is unstructured, and live in Australia. We do not want five tools stitched together. We want one.

The approach

  1. Model the group, not a single business. The data model was built for multiple entities from the start, because retrofitting multi-entity onto a single-tenant app is the expensive way to do it.
  2. Meet the identity where it is. The group already ran Google Workspace and Microsoft, so we integrated both rather than asking anyone to adopt a new login.
  3. Embed AI in the workflow. The intelligence sits where the unstructured work happens, not in a separate tool people have to remember to open.
