Automate your role.

Fixed scope · From $12,000 · Three to four weeks

You are the bottleneck. Most of the work that only you can do is not, in fact, work that only you can do. It is inbox triage, status updates, report assembly, quoting, chasing approvals, and moving data between systems that do not talk to each other. We shadow your week, find the recurring tasks that eat the most time, and ship two or three automations that take them off your plate. Fixed scope, fixed price, your tools.

What this actually is

Automate Your Role is the smallest, fastest way to put AI to work inside your business. Instead of mapping the whole company, we map one role, usually yours. We watch how the week actually runs, find the tasks you repeat without thinking, and build two or three automations that do them for you. It is productised on purpose: fixed scope, fixed price, a clear deliverable, and a short timeline.

It is not a strategy deck. It is not a chatbot bolted onto your website. It is working software that handles real tasks against your real tools, with a human checkpoint anywhere a decision carries risk. By the end you have hours back in your week and a concrete sense of what a larger build would return.

Who it is for

This is built for the person who has become the constraint on their own business. If most of the following are true, it fits:

  • You are a founder, owner-operator, partner, or manager, and too much runs through you.
  • Your week is full of work that is repetitive but not trivial: triaging, summarising, drafting, chasing, reconciling, reporting.
  • You have wanted to bring AI into the business but a six-figure build feels like too big a first step.
  • You already run real tools (email, a CRM, accounting, a document store) with data worth working from.
  • You want to feel the value in weeks, not be sold a quarter-long programme.

If you are not sure whether your role is the right starting point, that is exactly what the first call sorts out.

What we take off your plate

The specific automations are scoped to your role, but these are the patterns that return the most time for owner-operators and managers:

  • Inbox triage and drafted replies. Sort, prioritise, and draft responses to the mail that follows the same shape every week, so you approve instead of compose.
  • Report assembly. Weekly and monthly reports pulled together from your systems automatically, ready for you to read instead of build.
  • Quote and proposal drafting. First-draft quotes and proposals generated from a brief, a call, or a request, in your format and pricing.
  • Approvals and follow-ups. Routing the things that need your sign-off and chasing the ones waiting on someone else, without you holding the thread.
  • Meeting notes to actions. Calls and meetings turned into a clean summary and a list of tasks pushed into wherever your team works.
  • Moving data between systems. The copy-paste between tools that do not integrate, handled automatically with the records kept clean.

We will not automate something that needs your judgement. We automate the part around it, so the judgement is all that is left for you to do.

How it works

Four steps from first call to working automations. No long discovery phase, no drawn-out programme.

  1. Shadow the role. We spend time on your actual week. Inbox, approvals, reporting, quoting, scheduling, follow-ups. We capture where the repetitive time goes and what it costs you.
  2. Pick the highest-leverage tasks. We score every recurring task on time returned and difficulty, then agree the two or three to automate. Scope and price are fixed before anything is built.
  3. Build into your tools. We ship the automations into the systems you already run, against real data and your real workflow, with a human checkpoint wherever a decision carries risk.
  4. Hand over. Working automations, a short runbook, and full ownership. You keep the time back every week. Extend it later as a build or retainer only if it earns it.

What you get

At the end of the engagement you hold a working system and everything needed to run it, not a slide deck:

  • Two or three working automations. Live in your tools, doing real tasks, from day one of handover.
  • A short runbook. What each automation does, how to pause it, and who to talk to when something changes. Written for you, not for engineers.
  • Full ownership. All code, prompts, and configuration transfer to you on payment. No lock-in, no per-seat fee, no dependency.
  • A read on what is next. An honest view of which other parts of the business would return the most from a larger build or Bedstone OS, if you want to keep going.

How this differs from the alternatives

There are three other ways people try to get this time back. Each has a place.

Hiring an assistant or coordinator. Real salary, real onboarding, and the repetitive work still gets done by a person rather than removed. Right when the work needs human judgement throughout. Less right when it is the same shape every week.

A full AI agent build. Our AI agent builds start at $40,000 and target business-wide workflows with many systems and identity-aware access. Right when the problem is operational and company-wide. Automate Your Role is the smaller, role-scoped first step, and many clients graduate from one to the other.

Doing it yourself with off-the-shelf tools. Plenty of automation platforms exist, and for a simple trigger they are fine. The work tends to stall when the task needs to read unstructured input, make a judgement call, or touch a system without a clean integration. That is the part we are built for.

What it costs

Automate Your Role is from $12,000, fixed-price, typically three to four weeks. The figure depends on how many automations you want and how cleanly your tools expose their data. Two automations against tools with good APIs sit near the floor. Three automations, or work against a system with a weaker integration, scale up from there. The price is agreed before any build starts.

It sits between the discovery sprint (from $7,500) and a full AI agent build (from $40,000). If you already know which part of your role is the problem, this is the most direct way to fix it. See the full pricing breakdown for how the engagement types compare.

R&D Tax Incentive

The novel automation and integration work in an Automate Your Role engagement commonly qualifies for the Australian R&D Tax Incentive. We document the technical experimentation in a form your accountant or RDTI consultant can use. We do not provide tax advice; whether a specific engagement qualifies is assessed against your circumstances. See our guide to the R&D Tax Incentive for AI in Australia for the detail.

Common questions

What is Automate Your Role?

A fixed-scope engagement that takes the repetitive part of one person's job off their plate. We shadow the role for a short period, identify the recurring decisions and tasks that eat the most time, and ship two or three working automations into your existing tools. From $12,000, typically three to four weeks. The fastest way to feel AI working inside the business without a large build.

How is this different from a full AI agent build?

Scope and price. A full AI agent build (from $40,000) targets a business-wide workflow with many systems, identity-aware access, and a longer timeline. Automate Your Role is scoped to one person's repetitive work, fixed-price, and deliberately small. Many clients start here and graduate to a larger build or Bedstone OS once they see the time it returns.

Is this going to replace my job?

No. It removes the repetitive part of your role so you spend your time on the work that actually needs you. The judgement, the relationships, and the decisions stay with you. The inbox triage, the status updates, the report assembly, and the data shuffling between systems do not.

What can actually be automated?

Inbox triage and drafted replies, weekly and monthly report assembly, quote and proposal drafting, approval routing, follow-up sequences, meeting notes turned into actions, CRM and record updates, and moving data between systems that do not talk to each other. We scope the two or three with the highest time return for your specific role.

What tools does it work with?

Your existing stack. Email and calendar (Google Workspace, Microsoft 365), CRMs (HubSpot, Salesforce, Pipedrive), accounting (Xero, MYOB), document stores, messaging (Slack, Teams), and most SaaS tools with a documented API. We build into what you already run rather than asking you to switch tools.

How long does it take and what do I get?

Typically three to four weeks. You get the working automations running in your tools, a short runbook for your team, and full ownership of everything built, transferred on payment. If you want to keep extending it afterwards, that runs as a build engagement or a monthly retainer.

Is Automate Your Role eligible for the R&D Tax Incentive?

The novel automation and integration work commonly qualifies. We document the technical experimentation in a form your accountant or RDTI consultant can use. We do not provide tax advice; eligibility is assessed against your circumstances.
