AI for professional services.

AI and custom software for Australian professional services firms. Accounting and tax practices, financial advisers, insurance brokers, recruiters and quantity surveyors. Client onboarding, workpaper preparation, compliance calendars, work in progress, and the document drafting that eats the chargeable week.

What we automate

We build systems that integrate with the operational reality of Australian businesses in this sector. Common workflows we automate end to end:

  • Client onboarding, identity verification and engagement letter production
  • Workpaper preparation and query lists built from the source records
  • Compliance calendar management across BAS, tax and statutory deadlines
  • Fee proposal and scope drafting from a prior-year or comparable engagement
  • Work in progress and lockup reporting by client, partner and job
  • Advice and statement of advice document drafting to your house template
  • Renewal, review and anniversary chasing without anyone holding the list

The realities we build around

Revenue is hours, so anything that removes non-chargeable time converts directly into capacity without another hire.

The work product is a document, and the document has to be defensible to a regulator, a licensee or a court, which rules out anything that cannot show its source.

Client data is sensitive by definition and often covered by more than one regime at once.

The bottleneck is almost always the senior person reviewing, not the junior person preparing, so the leverage is in producing a better first draft.

Why work with us

Professional services work built for the way Australian firms are actually structured: partner review as the constraint, a compliance calendar that does not move, and a practice management system that already holds the client truth. We augment the preparation layer and leave the judgement where it belongs.

Where most AI in this sector goes wrong

Most AI sold to professional services firms is a general chatbot with the firm logo on it. It drafts confidently, cites nothing, and creates a review burden larger than the one it removed. The fragmented patterns: document drafting that is not grounded in the client file, so every fact has to be checked; "AI for email" that summarises an inbox but never touches the workflow behind it; onboarding tools that collect identity documents but do not verify them or link them to the engagement; and practice-wide rollouts where nobody defined which tasks the model is allowed to complete unsupervised. In a regulated profession, a plausible draft with an invented figure is worse than no draft.

Systems we integrate against

Professional services engagements integrate against whatever you run: your practice and document management system, your SMSF administration platform, your advice software, your recruitment system, and the ledgers underneath them. We do not publish a supported-vendor list: line of business applications, online software, on premise or in the cloud, current or long abandoned by its vendor. If it holds the data, we integrate with it, and if it is not named here that is not a limitation. Most AU firms run a practice management system, a document store, and a great deal of institutional knowledge in senior people. Integration is the value: an assistant grounded in the client file beats a general model every time.

If your stack isn’t listed above, reach out anyway. The systems vary by industry but the integration patterns don’t. We can usually work with whatever you’re running. Tell us your stack.

Regulatory and compliance landscape

Australian professional services operate under overlapping regimes: Tax Practitioners Board registration and the Code of Professional Conduct for tax agents, ASIC and the AFSL regime for financial advice with the Financial Planner and Adviser Code of Ethics, APRA-regulated obligations where relevant, AML and CTF program obligations for designated services, and the Privacy Act with the Australian Privacy Principles across all client data. Professional indemnity insurers increasingly ask how AI is used in the production of advice. We design workflows so the source of every fact in a document is recorded, and so the human sign-off is a real step in the system rather than a policy on a page.

Operational outcomes we move

Defensible outcomes on professional services engagements: non-chargeable preparation time reduced so senior capacity moves to review and advice; onboarding cycle compressed from weeks to days with verification evidence captured as it happens; compliance deadlines met without anyone maintaining the list personally; work in progress and lockup visible weekly rather than reconstructed at month end; and proposal turnaround fast enough to win work that used to go to whoever replied first.

Common deployment patterns

Common deployment patterns for AU firms: a workpaper agent that assembles the file and the query list from source records; an onboarding workflow that verifies identity and entity details, produces the engagement letter and opens the job; an advice-drafting assistant grounded in the client file and your approved house language; a compliance calendar that watches every lodgement obligation and escalates; and a WIP assistant that surfaces the jobs quietly going over before they do.

Related Bedstone services

Firms typically pair this with AI accounts for the practice’s own payables and receivables, document and drafting agents, and our financial services work where you are licensed. Or look at Bedstone OS for one workspace across the client file, the practice system and the document store.

How we engage

Five-step delivery, scoped to fit. Audit, scope sprint, proof of concept, verification, rollout. Wrapped as a fixed-scope sprint, monthly retainer, fractional engagement, or one-off audit. See services for the full process and commercial structures.

Common questions

Will client data be used to train a model?

No. Your data stays in your instance and is not used to train anyone else’s model. Where a regime requires it, the deployment sits in Australian infrastructure you control. We will walk your insurer or your licensee through the architecture under NDA if that is what it takes.

How do you stop it inventing a figure in a document?

Every fact in a generated document is traced to the source record it came from, and anything it could not source is flagged rather than filled in. The draft is a draft. A qualified person signs it, and the system records who and when.

Will it connect to our practice management system?

Yes. We integrate against the practice management and document systems AU firms actually run, and we do not publish a supported-vendor list. Where the API is limited we work with exports or a middleware layer, and the approach is settled in the audit phase.

Does this replace junior staff?

It replaces the part of a junior role that is assembly rather than thinking, which is usually where they learn least and bill least. In practice it moves juniors up the work sooner. If your plan is headcount reduction, we will tell you plainly whether the numbers support it.
